Acquaintance and launch
Getting acquainted with the portal
The owner’s office, an open catalogue for buyers, control panel and command: how your portal works.
Video transcript
This is the portal owner's office. On the left is everything you manage: orders, goods, prices, warehouses, contractors and data exchange.
Buyers see your directory on your domain. It is open and visible in search, and only the companies you confirm receive prices and orders. Open the catalogue.
It is arranged on your sections, and on the left - filters on the properties of the product.
The second part is the control panel. In it, you confirm companies, lead categories, properties and brands.
Your employees can also work in the office: the owner invites them and chooses a role.
Next - in detail and in order: from catalogue to orders.
First entry and company of the owner
Company card, offer and agreement, section "Settings" and owner profile.
Video transcript
After entering, you enter the office. Here is your company card: name, TIN, your role and status "Verified".
The offer and the agreement on the processing of personal data have already been issued for your company: the adopted version and the date of signing are visible.
All settings are collected in the Settings section: schedule and warehouses, account details, buyer groups, webhooks and access to external systems.
Here is the condition of accepting orders: only under a contract signed by both parties. Turn it on if you do not ship without a contract.
Open Profile: here is your contact details, phone number and password change.
Catalogue
Classification: Portal categories
Category tree in the control panel: area, depth, section creation.
Video transcript
The classifier is common to the entire portal, and you keep it. In the control panel, open the Categories section.
The tree is shown indentations: “Light”, inside it “Chandeliers”, and even deeper – “Crystal” and “Modern”. The depth of the tree is limited by the portal setting.
The “Region” column shows whose section it is: shared by the portal or owned by the company.
Create a new section. Press "Create.".
Enter the name and select the parent section. If the parent is not selected, the section will be level one. The link will come from the name itself.
Below are the properties of the category: the noted properties are available to the goods of this section and all its descendants. We will talk about the properties in the next video.
Click "Create" - the section appeared in the tree and is immediately available in the catalogue.
Properties: their own and systemic
We create a property, tie properties to categories, customize sets through Excel, and make the property mandatory.
Video transcript
Properties are the characteristics of goods: color, material, power. Open "Properties" in the office.
Some properties are systemic: they are common to the portal. And yours, for example, "Pillar" or "Degree of protection", you create yourself. Press "Add.".
Enter the name “Number of lamps”, select the type “Number”, the unit “pc” and include “In the filter”: buyers will be able to select chandeliers by the number of lamps.
Save it. The property appeared on the list.
Properties are tied to categories. In the control panel, we will open the "Chandeliers" category: in the "Category Properties" block, those that are available to its products and all descendants are marked.
When there are many categories, sets are convenient to configure in Excel. “Property Export” unloads the file, “Property Import” downloads it back, and what is not in the file is removed.
The property can be made mandatory: it will enter the set of each category, and the product without it will not go to the showcase.
Merchandise card
Name, article, weight and dimensions, categories, properties, price, balance and picture - and how the product looks on the showcase.
Video transcript
Goods are the basis of the catalogue. Opening Products.
Press "Add.".
The name of the product: "The chandelier suspended "Aurora", five lamps". And the article.
“Published” status: while the product is drafted, buyers do not see it.
For the goods shipped, weight and dimensions are needed: they are considered the assembly period and delivery. We indicate weight in grams, dimensions in millimeters.
"Categories and tags" tab. We note the sections "Chandeliers" and "Modern".
The Properties tab. Choose a color, specify the material and the base: buyers will filter the catalogue.
Prices and balances tab. Set the retail price and the balance in the warehouse "Moscow". The rest of the prices will count the rules, about them - in one of the following videos.
Add a picture of the product and save it.
Goods are safe. The "View" button will open his card in the window.
The buyer sees the name, price and characteristics for which the product will be found in the filter.
Import and exchange of data
Uploading and uploading the catalogue file, run log, regular import and exchange with 1C.
Video transcript
If there are many products, you do not need to add them one by one: the catalogue and prices are downloaded from the file. Open "Data Exchange.".
Upload: Catalogue or prices and balances in CSV, Excel or JSON. The columns are the same as when downloading, so the file can be edited and returned back.
Below is the file download. We choose what we download: a catalogue.
Select the file: article, title and category. Existing goods will be updated according to the article, and new ones will be created in drafts.
Click on “Download and Import”. The file is processed in the background.
The result will appear in the run log: how many lines are processed and whether there are comments.
New products are in the list of "Goods" drafts: check them and publish.
And for regular updates there is a section "Import": the file can be picked up from the link, from S3 or FTP on schedule. The standard CommerceML exchange is used for 1C.
Warehouses and prices
Warehouses, delivery and payment
Warehouses, shipping schedule and readiness period, delivery methods and payment that falls into the bill.
Video transcript
For the buyer to place an order, the portal must know where and how you ship. Let’s start with warehouses: we open warehouses.
Warehouses with leftovers are already in place. The new warehouse is added with the “Add” button: name and address, and the code will be collected by itself.
Save it. The warehouse appeared on the list.
Workdays, holidays and assembly capacity are set up separately: we open the "Shipping and Schedule". Of these, the portal considers the deadline for the order.
Delivery methods - in the section "Delivery": self-delivery from the warehouse, courier and transport company.
And the payment methods for the account are in the “Settings”. Open "Settings", then the section "Payment".
Here is configured non-cash payment: it falls into the bill, which will receive the buyer.
Prices: types, groups and policies
Price types, buyer groups, policies and price previews for counterparty; guest prices are closed.
Video transcript
The price of each counterparty is considered the rules, not the hands of the manager. Let’s start with the types of prices: open “Price Types”.
The basic type is the retail price. The rest are wholesale levels: “Opt”, “Dealer” and “Network”.
Buyers are grouped into groups, each has its own type of prices. Open "Settings" and the section "Buyers Groups".
The rules themselves - in the "Price Policy": who, what and what discount. For example, minus fifteen percent per category "Light" for the wholesale level.
If several rules fit, the one with the highest priority wins.
You can check the result in a preview. Select the goods and the counterparty and click "calculate".
The portal shows the price that this particular buyer will see and explains which rule worked.
And the guest can not show the prices. We leave the office and open the catalogue: goods and availability are visible, and the guest will see the price after entering.
Buyers and orders
Buyers: applications and access
We confirm the company’s application, assign a group and payment terms; ways to accept new customers.
Video transcript
In the portal, customers are companies that you have confirmed. Opening "Counterparties.".
Application status means that the company has left an application and is waiting for your decision. “Active” – access is open, “Blocked” – no access.
Open the application of the company "Axioma": press a pencil in its line.
Choose the status of "Active" and the group "Dealers". The type of prices and group determine at what price the company will see the catalogue.
Below you can see what pricing policies are already in place for this company. In terms of payment, you can specify the deferment, as well as the number and date of the contract.
Save it. The company has become your counterparty and sees a catalogue with its prices.
You can start a company yourself: in the control panel, open “Companies” and click “Create”. New companies are also checked here: the status “On check” and the “Confirm” button.
The remaining methods are a TIN application on the portal page and an invitation by link. The decision is always yours: there is no automatic confirmation.
Orders and invoices
We confirm the order, issue an invoice, note the payment, transfer to the assembly and communicate with the buyer in chat.
Video transcript
New orders come in the Orders section, and the number of new orders is next to the name. Opening Orders.
Open a fresh order: the buyer's position with its prices, the result, the method of delivery and history.
First, confirm the order: you can write a comment to the buyer and click “Confirm”.
Then the bill. In the “Payment and invoices” block, click “Invoice”: it is formed with the details of your company.
When the buyer pays, mark it with the “Claim the payment” button.
Now the order can be collected: click "In assembly". Remains in the warehouse are already reserved.
In the correspondence on the order, the buyer sees your messages. We'll tell him the order is coming.
Further, the order passes the status of “Shipped” and “delivered”: their buyer sees in their purchases.
Price requests
Incoming request of the buyer: we look at the desired prices, offer our own and the term of the offer.
Video transcript
The buyer can request a personal price for the desired volume directly from the product card. Requests come to the “Price Requests” section. Open it.
Here's a new request from Chamomile: ten bras and five floor lamps. Open it.
The table shows your price at the price and the desired price of the buyer.
We offer our prices: for a bra three thousand seven hundred, for a floor lamp - four thousand. They are lower than current prices, but higher than desired.
We specify to what date the offer is valid, and add a comment.
We're sending you an offer.
The buyer will see it and be able to accept it: then the prices will become personal for his company before the specified date.
Team and Integration
Team and roles
We invite employees, cabinet and control panel roles, notifications.
Video transcript
Your staff can also work in the office. Opening Employees.
The owner is you: he sees everything, including details and employees. The manager maintains a catalogue, prices, counterparties and sales.
To invite an employee, enter his e-mail and select a role.
Click on "Invite an employee." The letter will go to this address, and the person will confirm the invitation himself.
Access to the control panel is configured separately, with roles such as “Super Admin”, “Admin” and “Manager”. The rights of each role can be changed.
About new orders, price requests and messages portal reports to the mail and in the bell. All events are collected here, and the "Read All" button removes marks.
Integration: 1C, API and webhooks
Exchange with 1C, REST API token and webhooks about order and balance events.
Video transcript
The portal can be linked to your systems. Open “Data Sharing” and scroll down the page.
The 1C Exchange block describes the standard CommerceML exchange: address, login and password, which are specified in 1C. Goods, prices and balances go to the portal, and orders go to 1C.
Below is the REST API for accounting systems. To get a token, give it a name and click “Create a token”.
The token is shown once, so save it right away. With it, the system will be able to unload goods and pick up orders.
Webhooks report events to your system. Open "Settings" and "Webhooks": each message is signed, and in case of an error, the portal repeats the sending.
Add webhook: specify your address and select events - change of balance, new order and change of order status.
